1. THESE TERMS
1.1 These are the terms and conditions on which Study Mind Ltd (“Study Mind”, “we”, “us”, “our”) supplies its Summer Career Camps and Summer Schools (the “Programmes”), whether comprising Educational Services only or Educational Services together with Accommodation and/or Additional Services.
1.2 These Terms form part of the legally binding contract between you and Study Mind (the “Contract”).
1.3 Our obligations vary depending on the type of Programme booked. You may book:
(a) Educational Services only (non-residential);
(b) Educational Services plus Accommodation (residential);
(c) Educational Services plus Additional Services (such as airport transfers); or
(d) A combination of all of the above.
1.4 Please read these Terms carefully before submitting a booking. They explain who we are, how we will provide the Programmes, how you and we may change or end the Contract, refund arrangements and other important information.
1.5 These Terms should be read alongside our Privacy Policy, Safeguarding Policy and Code of Conduct, available on our website.
2. INFORMATION ABOUT US AND HOW TO CONTACT US
2.1 We are Study Mind Ltd, a company registered in England and Wales.

2.2 In these Terms, references to “you” include the person making the booking and the participating student. Where a booking is made on behalf of a student under 18, both the parent/guardian and the student are bound by these Terms.

2.4 If we need to contact you, we will do so using the contact details provided in your booking.
2.5 By making a booking, you confirm that:
(a) you are over 18; or
(b) you are the parent or legal guardian of the participating student.
3. DEFINITIONS
“Accommodation” means overnight residential accommodation arranged as part of a Programme, including meals and supervision where specified.
“Additional Services” means services ancillary to the Programme, including airport transfers.
“Booking” means an order for a Programme which is accepted by us in accordance with Clause 4.
“Contract” means the agreement between you and Study Mind incorporating these Terms.
“Educational Services” means the academic teaching, workshops, mentoring, lectures, simulations, visits and related learning activities forming the core Programme content.
“Programme” means a Study Mind Summer Career Camp or Summer School lasting 1, 2 or 3 weeks.
“Venue” means the location at which Educational Services are delivered and/or Accommodation provided.
“Writing” includes email.
4. OUR CONTRACT WITH YOU
4.1 A Booking is confirmed, and the Contract formed, when we receive either:
(a) full payment; or
(b) a £500 non-refundable deposit per booking.
4.2 If we are unable to accept your Booking, we will inform you and refund any payment received.
4.3 We reserve the right not to accept a Booking at our discretion.
5. OUR PROGRAMMES
5.1 Programme Content
Programmes will be delivered substantially as described on our website. However, all timetables, guest speakers, site visits and venues are indicative.
5.2 Variations
We may make reasonable changes where necessary, including:
(a) changes to timetable or sequence;
(b) substitution of speakers or tutors;
(c) changes to venues;
(d) changes required by law or regulation;
(e) changes necessitated by circumstances beyond our reasonable control.
5.3 No Guarantee of Outcome
We do not guarantee any specific academic, university admissions, employment or career outcome.
5.4 Supervision
Students are supervised during scheduled Programme hours and residential curfews. Supervision does not extend beyond Programme hours except where expressly stated.
5.5 Code of Conduct
Students must comply with all health and safety rules, safeguarding procedures and behavioural standards.
We operate a zero-tolerance policy regarding:
- abusive or aggressive behaviour;
- harassment or discrimination;
- possession or use of alcohol, drugs or illegal substances;
- criminal activity;
- academic dishonesty.
We may remove a student without refund if behaviour is deemed unsafe or disruptive.
5.6 Medical and Support Disclosure
You must provide full disclosure of medical conditions, allergies, special educational needs (including social, emotional and mental health) or other relevant information at the time of booking. Failure to do so may result in cancellation without refund where safe provision cannot be ensured.

5.7 Entry Requirements
5.7.1 Study Mind Summer Career Camps and Summer Schools do not have formal academic entry requirements. However, the Programmes are academically rigorous and assume that students have a suitable foundational understanding of the subject areas covered.
5.7.2 Students are expected to possess a level of academic maturity and prior knowledge sufficient to engage meaningfully with lectures, workshops, group discussions, simulations and independent tasks delivered during the Programme.
5.7.3 All Programmes are delivered entirely in English. Where English is not the student’s first language, the student is expected to have a minimum English language proficiency equivalent to B1 level under the Common European Framework of Reference for Languages (CEFR). This is broadly equivalent to an IELTS score of 4.0–5.0 overall (or an equivalent recognised framework).
5.7.4 It is the responsibility of the person making the Booking to ensure that the student meets the above expectations prior to enrolment.
5.7.5 Where a student enrolls on a Programme without meeting the recommended academic or English language level, the student may not be able to participate fully in all elements of the Programme or derive the intended educational benefit. In such circumstances, this shall not constitute grounds for cancellation, refund, compensation or transfer.
5.8 Attendance and Certification
5.8.1 Students are expected to attend all scheduled Educational Services forming part of the Programme, including lectures, workshops, site visits, supervised study sessions and other compulsory elements as outlined in the timetable.
5.8.2 A formal Certificate of Completion will only be issued where a student has attended a minimum of ninety per cent (90%) of the scheduled Programme hours.
5.8.3 Attendance is recorded daily and Study Mind’s records shall be conclusive for the purposes of determining attendance levels.
5.8.4 Where a student attends fewer than 90% of the Programme hours, Study Mind may, at its sole discretion, issue an alternative certificate confirming participation. Such certificate may state the number of hours attended and does not constitute a Certificate of Completion.
5.8.5 Absence due to illness, travel disruption or other personal circumstances does not automatically entitle the student to a Certificate of Completion where the minimum attendance threshold has not been met.
5.8.6 No refund, discount, compensation or transfer will be provided in respect of missed sessions.
6. ACCOMMODATION
6.1 Where Accommodation is booked, we arrange this with reputable third-party providers.
6.2 We select accommodation providers with reasonable care but are not liable for their independent acts or omissions unless caused by our negligence.
6.3 Students must comply with residence rules and curfews.
6.4 We accept no liability for loss or theft of personal belongings.
6.5 Study Mind Ltd. reserves the right to adjust the accommodation fees at any point. This will not affect customers that have already paid the fees.
7. AIRPORT TRANSFERS
7.1 Airport transfers are optional Additional Services.
7.2 Transfer supervision begins at the agreed collection time and ends upon safe arrival at the designated location.
7.3 We are not liable for delays caused by airlines, border control or events beyond our control.
8. PRICE AND PAYMENT
8.1 The price of the Programme is as stated on our website at the time of booking.
8.2 Payment Options
Upon Booking, Study Mind requires:
(a) Full payment; or
(b) A £500 non-refundable deposit per booking.
8.3 Deposits
Where a deposit is paid:
(a) The remaining balance must be paid no later than 60 days before the Programme start date.
(b) Failure to pay by this deadline may result in cancellation without refund of the deposit.
8.4 We reserve the right to cancel bookings where payment deadlines are not met.
8.5 We may correct obvious pricing errors prior to acceptance.
9. CANCELLATIONS AND REFUNDS
9.1 Cooling-Off Period
Where booking is made online, you may cancel within 14 days unless:
(a) the Programme begins within that period; or
(b) you have accessed digital materials.
This right does not apply to Programmes taking place on specific dates once performance has begun.
9.2 London Residential Work Experience Camps
Due to university accommodation and facility reservations being secured significantly in advance, the following applies:
Cancellation More Than 60 Days Before Programme Start Date
If cancelled more than 60 days before the Sunday immediately preceding the Programme start date:
- If full payment was made: refund will be issued minus the £500 non-refundable deposit.
- If only the deposit was paid: the deposit remains non-refundable.
Cancellation Within 60 Days of Programme Start Date
No refunds are available.
The Booking may be transferred to a later Programme within the same summer, subject to availability. New accommodation fees may apply.
Deposits remain non-refundable in all circumstances.
9.3 Non-Residential Programmes
For non-residential bookings:
- Cancellation more than 60 days prior: refund minus £500 deposit.
- Cancellation within 60 days: no refund.
9.4 Visa Refusal
Refunds due to visa refusal may be considered at our sole discretion where:
(a) application was made in reasonable time;
(b) full documentation was provided;
(c) refusal was unforeseeable.
A refusal letter must be provided at least 15 days before Programme start.
Approved refunds may be subject to:
- £250 administration fee;
- deduction of irrecoverable accommodation costs.
Deposits remain non-refundable.
9.4.1 Study Mind Ltd. do not offer support with visa applications and suggests that families should contact their local embassy to ensure accurate information.
10. OUR RIGHTS TO END THE CONTRACT
We may terminate the Contract where:
(a) payment deadlines are not met;
(b) behavioural standards are breached;
(c) material medical information was withheld;
(d) circumstances beyond our control prevent delivery;
(e) insufficient bookings render a Programme economically unviable.
Where termination is due to your breach, no refund will be provided.
11. EVENTS BEYOND OUR CONTROL
We are not liable for failure to perform due to events beyond our reasonable control including but not limited to:
- government restrictions;
- public health emergencies;
- natural disasters;
- industrial disputes;
- university or venue closures;
- Force majeure
Where such events occur, we may:
- reschedule;
- provide online delivery;
- issue appropriate refunds at our discretion.
12. LIABILITY
12.1 We supply services with reasonable care and skill in accordance with the Consumer Rights Act 2015.
12.2 We do not exclude liability for death or personal injury caused by negligence, fraud or where unlawful.
12.3 Subject to Clause 12.2, our liability is limited to the total Programme fee paid or £1,000, whichever is higher.
12.4 We are not liable for:
- loss of personal belongings;
- commercial losses;
- third-party acts beyond our control.
13. PERSONAL DATA
We process personal data in accordance with UK GDPR and our Privacy Policy.
14. TRANSFER OF BOOKINGS
Bookings are non-transferable without our written consent.
15. GOVERNING LAW
These Terms are governed by English law and disputes shall be subject to the exclusive jurisdiction of the English courts.
